General Expectations:

  • The President heads the Operations Department of SAI. This includes all agencies, Human Resources, and Information Technology. Therefore, the President must rapidly gain a high level understanding of each business.
  • The president has responsibility for all operations matters with the exception of Real Estate and Front Desk, but should maintain an overview of Real Estate with a focus on the residential side. The Office Administrator has primary responsibility for supervising Front Desk, but the President has responsibility to ensure that the Agencies make effective use of this asset and for proactively communicating support needs through the Office Administrator who then has responsibility for training and directing the front desk staff.
  • Standard work commitment is likely to approximate 20~30 hrs/week in the office during the school year and 40 during the summer, but the expectation is that he or she will manage his or her time well, delegate effectively, and do whatever it takes to get the required work done.
  • The President reports directly to the CEO and is expected to establish and keep weekly meeting time with the CEO (or additionally as required) to review progress in Operations. The president should come well prepared to efficiently review progress of each Agency both in terms of performance against budget and toward agreed to strategic objectives.

Primary Responsibilities:

  • Financial Responsibilities

    1. Meet or exceed the aggregated budgeted net income from operations.
      1. Includes all of the businesses, Operations Human Resources, and Information Technology
    2. Review income statements at the end of each month with the CEO, CFO, and each respective agency manager.
    3. Develop plan for creating and approving budgets.
      1. Work closely with the CFO to ensure that budgets are based on a sound understanding of their business, appropriate strategies, and realistic assumptions.
    4. Determine and approve all manager performance-based bonuses. Review manager bonuses with the CEO and then submit to Accounting for payment. Ensure that performance-based bonus schedule is appropriate with respect to agency peaks.
    5. Strategic Planning

      1. In conjunction with the CEO and outgoing President, conduct a strategic review of operations, identifying areas in need improvement. Document the results of this process and submit to CEO.
      2. Develop a written plan that identifies major presidential initiatives for the year, as well as resources and investment necessary to complete initiatives. Also include how each initiative fits into short- and long-term strategic goals. Document due to CEO by the end of the month of January.
    6. Planning and Preparation for Execution

      1. Establish effective systems for ensuring proper planning and preparation for peak periods well in advance of the peak. A plan for complying with this responsibility should be submitted to the CEO for review and approval during the first month of the President’s term of office.
      2. Work with the CEO to prepare a written plan for the major presidential initiatives of your term. Due one week before the managers return from winter break at the beginning of the presidents term.
      3. Maintain and distribute SAI master calendar. Should include all major agencies events such as the start and close of peak seasons, SAI training, HR events, employee relations functions, board meetings, etc.
        1. Supervise the creation and maintenance of planning calendars by individual agency managers
    7. Supervision and Performance Management (The President directly supervises Agency managers)

      1. Establish clear performance expectations with all managers from the start, and utilize appropriate metrics to assess performance against budget, quality and service objectives. Take steps to ensure that managers implement timely corrective actions and/or recovery initiatives when required in order to achieve budget and maintain high customer service and quality levels.
      2. Prepare and deliver (after review by CEO) written performance reviews for all direct reports within three weeks of the end of each quarter.
      3. Give managers feedback on a consistent basis whenever it is appropriate.
      4. Meet weekly with managers to review calendar and progress of business issues.
    8. Training and Development

      1. Develop managers through one-on-one training and coaching, and hold them accountable for managing their business.
      2. Work with the CEO and HR Manager to develop an effective recruiting and training strategy plan for all managers.
      3. Work with agency managers to develop plan for creating and approving manager transition and operations manuals.
    9. Communication

      1. Provide business-by-business performance assessments to the CEO on a weekly basis and to the BOD at the quarterly board meetings.
      2. Plan and facilitate manager meetings. Review meeting agenda with CEO. Preparing and distribute an agenda at lease two days prior to the meeting.
      3. Provide agencies operations update to the Board of Directors with each Treasury Flash report. (The flash report is distributed at the end of each month.)
